Assistant to the Director of Finance

Position Description

The Assistant to the Director of Finance supports the financial operations of the church by handling administrative tasks and maintaining accurate financial records. This role works closely with the Director of Finance to ensure timely reporting, budget tracking, and donor contribution entry. The ideal candidate is detail-oriented, trustworthy, and helps manage vendor and bill payments in alignment with the church’s mission of faithful stewardship.

Responsibilities & Duties

  • Spearhead the expense reporting system via the accounting software called Expensify. Duties include but are not limited to training users, troubleshooting their reports when needed, documenting missing receipts at end of the year, sending status reports regularly to the Director of Finance.
  • Oversee new credit cards requests by Church leaders.
  •  Oversee the checks and reimbursements requests: log all the requests and ensure their timely payments by the Director of Finance and or the elder in charge of Finance.
  • Oversee the giving statements from running to mailing or emailing it to members by Jan 31 of the IRS tax year.
  • Maintain donations in the planning center system: record all cash and check donations.
  • Maintain records electronically (monthly expense reports excel and PDF, monthly/quarterly/yearly bank statements, annual statements etc.) and physically (keep copies of physical documents).
  •  Maintain communication with donors who need special letters from the Church acknowledging their donations (donor advised funds, in-kind donations etc.).
  • Create and maintain a master calendar of all year-round activities finance related.
  •  Create and maintain a calendar for sensitive payments to keep the Director abreast of sensitive requests and upcoming deadlines.
  •  Communicate with the top spenders by regularly informing them about the status of expenses and budget via monthly updates emails.
  • In charge of all Ad-hoc requests.

Qualifications & Skills

Required:
  • High School Diploma
  • Covenant Community Member
  • High Level of integrity, confidentiality, and alignment with the church’s mission and values
  • Detailed Oriented
  • Self Managed and Motivated
  • Clear Communicator (verbal and written)
  • Efficient with Office Suite and Google products (Word, Excel, Docs, Sheets, etc.)
Preferred:
  • Some College
  • 2 years or more of financial administrative experience

Work Environment

  • Requires 10-12 hours/week
  • More hours during busy season and/or special events
  • Sundays are a required work day. Most tasks can be completed from home. 

Salary & Benefits

  • $16.50/hr
